GST bills and Tally

GST purchase bills, linked to the assets they paid for

Every laptop in your register should trace back to a bill. AssetVow records purchase and repair bills with GST, gets them approved, creates the assets on approval, and sends the result to Tally or Zoho Books. Your accountant keeps the books; nobody retypes anything.

  • CGST and SGST, or IGST, from the GSTIN
  • Approval rules by amount and office
  • Tally XML export and Zoho Books push

Example data

The asset register and the books never match

Finance books a laptop purchase in Tally. IT adds the laptops to a sheet, maybe. A year later the auditor asks for the invoice behind an asset, and someone spends a day searching email for a PDF from a vendor who has since changed their name.

Bills with GST worked out per line

Add each vendor once, with the GSTIN checked. AssetVow uses CGST and SGST when the vendor is in your state and IGST when they are not, based on the state code in the GSTIN. Attach the vendor invoice as a PDF or a phone photo, and let AI read the lines for you to check.

  • GSTIN validated for every vendor
  • Intra-state and inter-state GST
  • Invoice attached to the bill
  • Purchase, repair and sale bills

Approvals that match how you work

Bills up to a limit you set (₹10,000 to start) are approved by the person who raised them. Above it, rules by bill type, office and amount decide who approves and in what order: IT Admin, Finance, Owner. Nobody approves their own bill, except the owner.

  • Self-approval limit
  • Approvers in order, per rule
  • Rejected bills edited and resubmitted
  • One Approvals list for each approver

Purchase orders and goods received

Raise a purchase request, turn it into a GST purchase order PDF with HSN or SAC codes, record goods as they arrive (partial deliveries are fine), and match the vendor bill to the order. Assets are created at the office that received them.

Assets created from the bill

When a purchase bill is approved, its assets appear at the receiving office with cost including GST, serial numbers, vendor, warranty end date and the invoice attached. Repair bills add to the asset’s repair spend. Sale bills retire the assets sold.

  • Cost, vendor and warranty on every asset
  • Repair spend per asset
  • Sales retire assets
  • Catch-up bills for assets you already own

FAQ

GST bills and Tally: common questions

Does AssetVow replace Tally?+

No. Tally or Zoho Books remain your books of record. AssetVow keeps the asset side (bills, approvals, assets, repairs) and sends approved bills to your accounting system so nothing is typed twice.

How does the Tally export work?+

Choose a date range and download the approved bills as an XML file, then import it into Tally. Each bill is one voucher using the ledger names you set in AssetVow, so the entries land in the right ledgers.

Does it handle IGST for inter-state purchases?+

Yes. When the vendor’s GSTIN is from a different state than your billing entity, the tax is IGST; in the same state it is split into CGST and SGST.

Can we add bills for assets we already own?+

Yes. A catch-up bill fills in the purchase details (cost, vendor, invoice, warranty) of assets that are already in the register, without creating new ones.

Who can see what we spend?+

Only roles you allow, such as the owner and finance. IT can manage assets without seeing spend reports.

Make every asset trace back to a bill

Start with this month’s purchases. Approve them in AssetVow and the assets and the Tally export follow.
